1. Preamble
In accordance with the guidelines, advisories, and quality mandates issued by the University Grants Commission (UGC) and the All India Council for Technical Education (AICTE), and in recognition of the increasing role of digital platforms in higher education, this Institution adopts the present Information Technology Policy for the Mobile Application.
This policy aims to ensure secure, transparent, ethical, and effective use of information technology for academic and administrative purposes in compliance with the Digital Personal Data Protection Act (DPDP) 2023 of India.
2. Objectives
The objectives of this policy are to:
- Promote digital governance and e-administration
- Ensure data security, privacy, and confidentiality
- Provide authenticated academic and administrative services to students
- Regulate responsible and ethical use of institutional digital resources
- Ensure compliance with statutory and regulatory frameworks
3. Scope
This policy applies to:
- All students, parents, faculty members, and administrative staff
- All academic and administrative data accessed through the mobile application
- All hardware, software, servers, and cloud services connected with the app
- Third-party vendors engaged for development or maintenance
4. Regulatory Framework
This policy is framed in alignment with:
- UGC Regulations on Digital Initiatives and e-Governance
- AICTE norms on ICT infrastructure and digital services
- Information Technology Act, 2000 (as amended)
- Government of India cyber security advisories
5. Ownership and Governance Structure
- The Student Mobile Application shall be the exclusive property of the Institution.
- Overall authority shall vest with the Head of the Institution.
- Operational oversight shall be exercised by the IT Cell / ICT Committee.
- A Vendor Agreement / MoU shall govern third-party involvement, ensuring data ownership remains with the Institution.
6. Purpose and Functional Coverage
The mobile application shall be used exclusively for:
- Student academic profiles and enrolment details
- Attendance and continuous internal assessment records
- Examination notifications, results, and academic calendars
- Fee details and institutional announcements
- Learning resources and academic support services
- Emergency and official communication
7. Data Privacy and Protection
- Data collection shall be limited to academic and administrative necessity.
- Student data shall not be shared with external agencies without explicit institutional approval.
- Adequate safeguards such as encryption, secure servers, and controlled access shall be implemented.
- Data handling shall comply with applicable laws and regulatory advisories.
8. User Authentication and Access Control
- Secure login through unique institutional credentials shall be mandatory.
- Access shall be role-based (Student / Parent / Faculty / Administrator).
- Users are responsible for safeguarding their login credentials.
9. Acceptable Use Policy
Users shall:
- Use the application strictly for institutional and academic purposes
- Refrain from unauthorized access, data tampering, or misuse
- Avoid posting or circulating misleading, offensive, or unlawful content
Violation of this policy shall invite disciplinary action as per institutional rules.
10. Content Management and Accuracy
- Only authorized personnel shall upload or modify official content.
- All information shall be accurate, verified, and updated periodically.
- The Institution reserves the right to modify or remove content without prior notice.
11. App Development, Security, and Maintenance
- The application shall follow industry-standard security protocols.
- Periodic updates, bug fixes, and security patches shall be ensured.
- Security audits and performance reviews may be conducted by the IT Cell.
12. Incident Reporting and Management
- Any cyber incident, data breach, or system failure shall be immediately reported to the IT Cell.
- Corrective and preventive measures shall be initiated without delay.
- Serious incidents shall be reported to the competent authority.
13. Disclaimer
The Institution shall not be held responsible for:
- Issues arising from personal device malfunction
- Network failures beyond institutional control
- Unauthorized use due to negligence of users
14. Policy Review and Amendments
- This policy shall be reviewed once every two years or earlier if required by regulatory changes.
- Amendments shall be effected with the approval of the Governing Body / Competent Authority.
15. Effective Date
This policy shall come into force from the date of launch of Mobile Application.
